The Virginia Department of Transportation (VDOT) is excited to announce an opportunity to serve as a part-time Library Associate at the Virginia Transportation Research Council (VTRC). This is an on-site position located in Charlottesville, VA on the grounds of the University of Virginia.

The Virginia Transportation Research Council seeks a part-time individual to assist with a wide variety of library functions at the VDOT Research Library, a specialized research library that focuses on transportation and serves VDOT employees and members of the University of Virginia research community. Position specific responsibilities include, but are not limited to:



  • Strong customer-service orientation and commitment to improving the patron’s experience using a combination of print and online reference sources in the library’s collections

  • Assist as part of a reference team in answering simple research questions on-site and supports off-site researchers with phone, e-mail, and online chat software, and print and online reference sources, using online helpdesk “ticketing” software. This includes opening and closing tickets, transferring tickets to coworkers and tracking all work via internal ticket notes and attachments to move tickets toward timely completion.

  • Support patron access to local, subscription and remotely held resources listed in the library’s online catalog and other local knowledgebases, licensed subscription databases, other research libraries, VDOT’s SharePoint collaboration site and publicly accessible transportation research databases.

  • Provide on-request document delivery of single-user digital resources though library accounts for accessing and delivering copyright-compliant articles, standards, and other resources to employees in VDOT divisions and districts statewide.

  • Digitize hard copy files and enhance and optimize files (both digitized and “born digital”) for accessibility through the library’s digital repositories, including image and text files in a variety of file formats.

  • Support procurement and tracking of quotes, invoices and payments for library subscriptions and acquisitions, under guidance from the technical services librarian and procurement officer. This includes anticipating expiration of existing subscriptions and outreach to vendors in advance to receive and track invoicing and renewals to ensure subscriptions remain active, and changes in content and pricing to existing subscriptions, as well as the addition of new subscriptions and discontinuing subscriptions that are no longer needed.

  • Assume a rotating role staffing the library, daily work with the library’s LibAnswers ticketing system, staffing online live-chat, recording statistics of customer service transactions, keeping the library’s physical spaces organized and ensuring library technology works properly, using the Library Services Platform to create and update patron accounts, and facilitate checkouts/ renewals/ check-ins, procurement tasks and tracking of invoicing/shipping/receiving to ensure materials are acquired in a timely manner, and database subscriptions are not interrupted due to late payment.

  • Ability to record transactional data and analytics and generate accurate and timely reports upon request.

  • Ability to utilize computer software systems to provide excellent customer service and collaboration, including online scheduling and collaboration tools

  • Knowledge of Freedom of Information ACT (FOIA)

  • Ability to maintain effective relationships with lending and borrowing libraries of all types in the U.S, and overseas

  • Ability to communicate both orally and in writing to a diverse audience

  • Ability to shift tasks and reprioritize as the situation demands


Project work during off-peak times may include support of technical services library staff on digital initiatives, and in processing documents. That work could include scanning, optimization of files, naming/organizing/optimizing files, and ingestion of files into the digital asset management system the library uses to make collections accessible under the guidance of the library’s technical services department. Project work may also include support of library collection development and access management activities such as: processing gifts and donations, shelving, shelf shifting and shelf reading.


Minimum Qualifications



  • A working knowledge of copyright laws as they relate to Interlibrary Loans, Document Delivery and reproductions for other library uses

  • Knowledge of library call number classification and shelving systems, and basic stacks maintenance practices, to include shelf-reading and reshelving of hard-copy materials

  • Ability to solve problems and recommend solutions

  • Ability to multi-task and prioritize work


Additional Considerations



  • Familiarity with one or more of the following: EOS Integrated Library System, Springshare applications (LibGuides CMS, LibAnswers, LibChat, LibWizard, LibInsight, LibStaffer), Microsoft Office 365 suite, Microsoft Teams and Microsoft SharePoint Online, OCLC CONTENTdm digital asset management system or OCLC Worldshare Interlibrary Loan software

  • Experience training, supervising, and monitoring student assistants or volunteers

  • Ability to make minor repairs to books, materials, and equipment in the library

  • Ability to maintain and track data and statistics for reporting purposes

  • Ability to interpret vendor licensing agreements for allowed uses of Intellectual Property for loans, research, and individual scholarship

  • Knowledge of library policies, procedures, and administrative practices

  • A combination of experience, training or education in Library Science or related field desired

  • Ability to search for disambiguating and delivering the requested information and citations to patrons

  • Experience using customer service software, as well as ticketing and dashboard systems as part of a collaborative team

VDOT is an emergency operation agency. Positions physically working within Central Office locations may be designated upon request and coordination among the respective District Engineer or Administrator and Chief. Assignments are updated annually. Not all designated employees are provided an emergency operations assignment.

This position is an Hourly/Wage position. Hourly (wage) employees may not work more than an average of 29 hours a week and cannot exceed 1500 hours the wage employment year (5/1 - 4/30). This position does not include health insurance, retirement or paid leave benefits.
